deverus is proud to announce a new way of capturing reference verifications with SwiftReference. Using SwiftReference allows your clients to get faster and more accurate Applicant reference verifications by automating the process to reach out directly to the reference contact.

Pricing for the Automated Reference Verification is triggered off of the completion of the actual type form. If an applicant gives an incorrect email address for a reference or if a referee refuses to complete the form, there will be no charge.

There will be a $0.50 charge as long as the type form provided by this service is completed. There is no charge for the service for an attempt made with no results.

How it works

When a reference verification search is ordered, the applicant will have the opportunity to add the email address of either a Professional or Personal reference. Upon order of the search, the deverus platform will send an SMS text and an email link to the reference contact to complete a verification form. The completed form will be assigned to the new SwiftReference researcher where it can be reviewed.

Enabling SwiftReference

SwiftReference has been made available as a new Integrated Researcher in the Researcher Network. No credentials are required. The sliding button just needs to be clicked to enable the new feature. Adding a researcher fee does not apply to REFV. This fee is only compatible with Work Number Integrated Researcher.

Setting Client Exceptions

By enabling SwiftReference, any reference verification will be assigned to this new automated researcher. The option does exist to exclude certain clients and client types from using this service by selecting the Add Client Exceptions button, adding the client/client type name and selecting the Add button.

Managing Templates

The SwiftReference Template is the list of questions that will be presented to the referee. The template can be edited to reflect appropriate reference instructions and questions.

Editing Templates

Admins can configure 2 different templates in the researcher network and assign it to professional or personal. When an order is placed, the party ordering can continue to choose the options professional, vs. personal in the HR, or API ordering interfaces. The correct template is assigned depending on the value ordered

Title

The title of the Referee Template is only visible in the tab of the web browser it is shown on. This is a required field.

Expiration Period (Hours)

The Expiration Period dictates how long the link sent to a Referee is active. If a Referee clicks an expired link to answer the questionnaire, they will arrive to a page with a message saying the link has expired. The default expiration is set to 1 hour. Once a link has expired, the search moves from the "Swift Reference Automated Researcher" to the default researcher. From there the researcher can choose to resubmit and to manually enter the questions or choose an unverified status. The researcher can only enter answers to the questions template if the search is either assigned to the "Swift Reference" researcher or resubmitted. Once a link expires the old open form format is available.

Instructions

The Instruction field is an open form field that is not required. The instructions will be shown to the Referee after they click yes on the message to answer the questionnaire.

Questions

There is no limit on the number of questions on a template and each question can be selected to be required or not. Questions are responded to by the Referee with an open form field for each question. There are no validation rules or character limits on these fields. When any changes are completed, the Save Changes button must be selected.

The Applicant Experience


During their Swifthire session, an Applicant will have a page where they will need to input the following information for their reference. This information is all required.

  • Name

  • Type: Professional/Personal

  • Relationship

  • Phone Number

  • Email

*NOTE* Please note that only the referee phone number is required when ordering a reference verification via the Admin Module. HR ordering requires both email and phone number.

The Referee Experience

An email and text message containing a link to the reference questionnaire will attempt to be sent to the reference contact that the applicant specifies during their Swifthire session.

The “email from” will be the CRAs verifications department email. This can be found in System Settings>System Profile>Main Customer Service Email. The CRA name and customer service main phone number are displayed on the bottom of the email (pulled from system profile).

The body of the email itself will also include company contact information to increase the legitimacy of the email to the referee.
The referee can select if they would like to proceed or decline. If a reference opts to decline, they will receive a Thank You response and the reference search will be reassigned to the next researcher following the order of operations.

If the referee wants to proceed to the reference type form, they just have to select yes. This will bring them to the form containing the questions on the SwifthireReference Template, shown below. If the referee declines, an activity note is logged and the search moves on to the default researcher.

Delivery Message Logging

The SwiftReference product has been updated with more message logging for the delivery and acceptance of Reference Verification invites. When a reference verification is created and sent to a referee, the platform will add an admin activity like the one below:

Successful Delivery Messages

Successful delivery messages will only be logged for emails.

Failed Message Logging

Only emailed invites that fail will be logged. There are two common failures but there may be other error reasons logged. One is an immediate fail, the other is a time out as there is a retry process for email addresses that do not immediately fail.

An error message with the reason of too old means that the retry process ran and was unable to send an invitation to that address.

Resubmitting Verification Searches to SwiftReference

In-house researchers do have the ability to resubmit Verification search types to SwiftReference. Any time a search is submitted to SwiftReference, a new SMS text message containing the questionnaire link will be generated and sent to the applicant listed as a reference. The Resubmit screen also contains an email field, where the reference email address can also be added. A researcher can also just use the resubmit link to manually enter the answers themselves.

Viewing Results

Results will be fully viewable on a final report. If you do not wish to disclose all content, please use the QA process. Applicants will have the ability to view the reference verification results in the applicant portal. The reference verification results from the form will also be viewable on the final report.
