The deverus Document Management feature allows a CRA to upload documents to be accessible by clients via their HR Portal. This feature also allows a CRA to assign documents to specific search types.
When tied to a search type, a document can be made available in a subject's Applicant Portal. This will require the subject to download the document and upload a document in response to the downloaded document instructions.
SwiftDocs Setup Steps
1. Upload a Document
This is the document that will be available to the Client user through their Module or the applicant in the Applicant portal. For example, this could be the blank form the applicant/client needs to complete and upload, or instructions for the applicant to view and follow for their upload.
Under System Settings -> Document Management and select Manage Documents.
Selecting the 'Manage Documents' button will open the Document Upload wizard shown below.
A document can be uploaded to one of the three separate Document Levels. Global type documents are available for all clients and users.
*NOTE* In order for a document to be available for search assignment, it must be uploaded to the Global Level.
Next, the Document Type Selection is required. For SwiftDocs, select the Client option from the list:
After selecting the desired Document Level and Document Type, any existing documents already uploaded to the client(s) in that Document Level will show. Documents can be edited or deleted from this page.
2. Assign Search Type documents
An admin has the ability to assign a document from the Global level to a specific Search Type. This means that when the associated search type is ordered, the document will be attached at the search level.
To assign a document to a search type, Go to System Settings -> Manage Search Type documents.
Then, select the search type, applicable jurisdiction, and the global document to assign to it.
Last, click 'update'.
**File Size Limits: <5MB. Total combined upload 25<MB.**
Now, when this search type is ordered from the Client Module, then there will be a message displayed with a link to the document as shown here:
For subjects completing this search via Swifthire Mobile, the document will be available to them upon logging into the applicant portal.
Applicant Portal Experience
Applicants are able to view, download, and upload documents assigned to specific search types directly from their Applicant Portal. With SwiftDocs configured, an applicant logged into their Applicant Portal will be notified of the required document via an orange banner at the top of the screen (as shown below). Applicants can manage any documents by clicking the 'Documents' tab on the left side.
On the Documents page, the applicant will find their Swifthire Mobile consent documents as well as documents tied to the searches that were ordered (if applicable).
To dismiss the orange banner notification, the applicant must go to the 'Documents' tab, view the document under the 'Documentation Needed' heading, and upload a document to their portal.
*NOTE* Notifications on this page are only removed when an applicant uploads using the portal. If the CRA satisfies the requirement from the admin side, then the notification will still show for the applicant. AKA names will require the applicant to upload a document for each search ordered. SwiftDocs is not recommended for use with AKA searches at this time.
Applicant Upload
1. The applicant will click the 'VIEW' button, and any Global document(s) assigned to the search(es) in their report will load. Any forms requiring a signature by the applicant would then be downloaded and printed by the applicant for signing.
2. The applicant will use the 'UPLOAD' button to upload a file in response to the required document. When uploading a file, the 'UPLOAD' button will turn into a status circle, then 'Complete' as shown below:
3. Successfully uploaded files will turn blue and be available under the 'Applicant Uploaded Documents' section. An applicant can see their uploaded file by clicking the 'View' button.

There is a charge for each successfully uploaded document from the Applicant Portal using SwiftDocs. Please contact deverus Support for pricing details.
Viewing Applicant Uploaded Documents
Viewing Documents via Admin module
Admin users are able to view the applicant uploaded files at the search level by pulling up the search ID in Report Finder. As shown below, the file will be available under the Documents section along with the Swifthire Consent page(s), and the Activity History will log the file name and timestamp when it was uploaded in the Applicant Portal:
*NOTE* There is no search-specific hold status for those that are assigned a document. They will be "in progress" automatically upon ordering (unless otherwise dictated by the client's account settings). These searches can be assigned to a human researcher to confirm if an attachment is added or not, then complete the search.
Viewing Documents via Client Module
HR users are also able to view the applicant uploaded files at the search level in the Client Module. HR users are only able to view attached documents, and the respective activity logs, for searches that have search type documents assigned:
*NOTE* On a mobile device, the white icons in the Applicant Portal may be difficult to see if no background image is selected. Select a background image for customer types using Client Branding.
Problem
I am not able to order using SwitHire 2.0.
Solution
Let's start off by ensuring all settings are configured correctly.
Have configured settings in the admin and for each individual SwiftHire USER? Remember Swifthire settings need to be updated not just for each client but for each new user in the client module.
Am I using a custom search in any package?
The first version of Swifthire 2.0 will not accept custom searches. Please ensure your package does not have any of these searches.Has client branding been configured?
SwiftHire 2.0 is programmed to work with client's branding. Ensure you have gone to the client's "site branding" option in the client editor and enabled a logo, color scheme, profile and image.Am a using the correct "Electronic Consent"?
SwiftHire 2.0 utilizes and will maintain "Electronic Consent" and "State Disclosure" documents for you. No need to have clients create their own!
If you have confirmed all of these settings are correct here are some basic steps to take.
1. Narrow down the problem. Check if this is specific to one user or client to see what may be different about this account.
2. Are you able to complete any SwiftHire invitations or is this specific to one package or link? This can help us locate what may be triggering t
3. Run a test order. There could always be some type of network problem outside of the platform that may have caused an error. Try running a test order under the same circumstances to see if this is an ongoing issue.
