This feature allows you to upload documents into your system and have clients access from their HR Portal. You can choose who will be able to view and assign documents out to different search types.
Navigate
System Settings> Document Management section
Manage Documents
Click the Manage Documents link to upload a document at different levels - Global, Customer Type (or Client Type) and Client level. The supported document formats are: bmp, csv, doc, docx, gif, jpeg, jpg, pdf, pdfx, png, rtf, txt, tif, tiff.
Global Level- Allows a document to be available for all users and clients
Customer Type (Client Type) - allows a document to be available for all client types
Client - allows a document to be available for all clients
Draft - can house documents here before assigning out, documents stored here can only be accessed by Administrators
Note: VeroHire document type is a legacy feature and no longer active.
Viewing Documents
Clients may log into their portal> My Account > My Documents to download and view.
Manage Search Type documents
System Settings> Manage Search Type documents
Once you have uploaded documents, you can assign them to a specific search type.
When that search is ordered, a message will be displayed with a link to the document.
Uploading the Document
Report Level
The document can now be uploaded using the upload feature in the ordering screen. For example, a consent document would want to be added to the report level, so it is accessible to any researcher that needs to view. This is added before the order is placed.
Search Level
To upload a document to the search level (this is needed for researchers to receive through HubX), the order must first be placed by the HR client. The must next navigate to the Report Management Tab, choose the Applicant, the Search and then upload there. See below.
The client may also use the email or fax number pulled from your profile and provided with the doc to manually send in the document.
Document settings:
Show Client - This will indicate whether or not the file is visible to the end user in their portal. If set to yes, and user result delivery settings are to receive the completed report, then the file will be sent to the user with the completed report.
Show Researcher - This indicates whether the document is visible to the assigned researcher of the search.
