Swifthire 1.0 Settings in Client Module

Swifthire client settings

Clients will be prompted to configure their Swifthire settings the first time they try to order one. The settings can also be accessed at any time from the Swifthire dashboard as shown below. The Swifthire Settings button is in the lower right corner of the Swifthire dashboard screen.

These settings are not accessible via the admin module, but you can log in as the client (see Switching between admin and client/researcher view) if you want to configure these settings for a client.

Each setting is explained below.

    • Request Email: This section configures the invitation email that is sent to an applicant when your client submits a Swifthire order. It includes the following fields.

      • Send Emails from: At this point in time, the email input in this field will be overridden by the email address "clientName"@screening.services. deverus made this change to circumvent some Swifthire invitations getting sent to spam folders due to the recipients spoofing email policies. In addition, this "from" address is used for reminder emails as well (discussed below).

      • Subject: The subject line of the email invitation - for example, Background Screening Request.

      • Text: The actual content of the email, which should contain instructions and guidance for the applicant. The system will automatically add the Swifthire link for the applicant at the bottom of the email.

    • Reminder Emails: Your client can create one main reminder email, along with any number of optional reminder emails, which can be sent automatically to applicants. The main reminder can also be sent manually from the Swifthire dashboard simply by checking one or more applicants and choosing . The reminders are sent from the "from" address specified in the Request Email section above ("clientName"@screening.services). Each reminder has three fields:

      • Subject: The subject line of the reminder email - for example, Second request: background screening.

      • Text: The actual content of the reminder email, which will automatically have a link at the end to the applicant's Swifthire entry form, just like the original invitation email.

      • How many days until the reminder is sent? The system tracks how many days it has been since the original invitation was sent, and will automatically send the reminder after the number of days you indicate pass without a response from the applicant. For example, if you set the reminder to send in 3 days, and the applicant receives the invitation on a Monday, then they will automatically receive a reminder the following Thursday, assuming they don't fill out the form before then.

To add additional reminders, just click + Add an automatic email. Your client can add as many reminders as desired, each with a different number of days, to create escalating verbiage for applicants that ignore the invitations.

  • Order Instructions: This is a simple text box containing the instructions that the applicant will see immediately upon clicking the link in the Swifthire invitation email. Sample instructions are provided by default and can be modified or used as is.

  • Notifications: If your client desires, they can choose one or more client users to receive a simple notification email each time a Swifthire application is sent in by an applicant. They can choose among all active users for that client (not branch users) and can choose more than one recipient by using CTRL + click (Command + click on a Mac). The notification will use the HR users Contact Email address. It will not use the HR users Result Email address.

  • Process: Your clients can choose, if they wish, to review each Swifthire request that is sent in, before it is ordered. Completed Swifthire applications are shown in the Swifthire dashboard, and a client can cancel an order, review it before ordering (making changes or additions as desired), or order it without reviewing, as shown in the following screen shot.

  • Payment: Your client will not see this section unless you are integrated with Payflow Pro. If you are, the clients can choose whether or not applicants must pay with a credit card for their Swifthire screens.
