Browse by Status

The homepage of the client module categorizes reports by status

Clicking an icon will display all of the reports in that status:

  • In Progress: The applicant has one or more searches that have not been completed.

  • Completed: The applicant's background check is completely finished.

  • Archived: Completed applicants can be moved to the Archived category once there is no need to actively monitor their background check.

  • Needs Attention: This category shows only applicants that have either

    • An unread status update

    • A request for additional information from the CRA

  • Review Needed: This category shows all candidates that have a criminal record, unverified school or employment record, or positive drug test.

    • Note: The 'Review Needed' folder will always show 1 of 1 (in the done column) regardless of the number of searches under review. The 1 of 1 is actually referring to a single report.

Please Note: If the searches in the report being viewed are not set up for report grading, the 'done' column (as seen above) will not show up.

Icon notifications

- The unread mail icon indicates that the user has not looked at this applicant. Once the users clicks and views the applicant's report then the icon will disappear.

Status Update Icon: There is an unread status update. Applicants with this icon will show up in the Needs Attention category. Once the user views the applicant and reads the status update, the icon will disappear.

Review Needed Icon: Indicates a review is needed to submit additional information before this applicant can be fully processed.

Needs Attention Icon: When the "Delay" button on the search card is used by an internal admin/researcher to request more information from the client ('Need More Info'), the red icon is displayed.

Next to each applicant there is a status bar which shows how many searches are completed for that applicant's background check. The status bar will be green when the report is completed.

Quick Find

Quick Find, located at the top of the client module, can be used to search for an applicant by first/last name or SSN.

Advanced Search

Advanced Search is listed at the top of the client module, next to the Quick Find magnifying glass as shown below:

Only applicants that match all fields for the Advanced Search will be returned in the search results.

If the user has permission to view reports ordered by other users and/or has branch access, then the user will also be able to search By User and/or By Branch. Another important feature is the 'Package' search criteria; a user can select a specific package from the dropdown list to locate any applicants for whom that package was processed.

Sorting the applicant list

Each column heading in the list of applicants can be clicked once to sort by that column, or clicked twice to reverse sort by that column. By default, the list is sorted by applicant name.

Paging through and viewing all applicants

By default, only 8 applicants are shown per page. There are multiple pages when there are more than 8 applicants.

Click the View All link in the lower left to show all applicants on the screen at once.

Mass-archiving applicants

A user can archive individual applicants whose background checks are complete or multiple completed applicants at once using the archive all from the completed tab.

*NOTE* You CANNOT undo the Archive All action, as there is no way to mass-unarchive, so use this technique carefully!
