Best Practices
Existing Swifthire 1.0 custom consents may need some tweaks to display properly with SHM.
If you want to create edits to the deverus standard consent, COPY the template labeled SHM General Consent and edit any pages.
*If the SHM General Consent Template is edited, the changes will apply to any clients using that default template.*
You can share Custom Consent templates among Swifthire 1.0 and Swifthire Mobile experiences, but by doing so you limit your user experience to Swifthire 1.0 Custom Consent features. Enhancements like signature collection, CRA place holder information, and city, state or package based rules for consents are not available in Swifthire 1.0.
βYou should always preview any consent changes before deploying those changes to a live candidate experience. Preview functionality in Swifthire Mobile only reveals how that consent will look for a client utilizing Swifthire Mobile.
In order to preview the consent in Swifthire 1.0, you need to apply the changes and initiate a test order to see those consents.
Page Titles are not necessary in Swifthire Mobile Custom Consents as the Page Name will be used as the header for consents (both in app and pdf).
Complex html may cause display problems. Html can only be used in body field types (not labels, descriptions).
Signature is always required even if required is not checked in the form builder.
Any changes made to a template will not impact already sent out Swifthire Requests
Step-by-Step Setup Guide
1. Initial Setup
Under 'Edit Client Information' and within the Swifthire Settings for that client, you will be provided with the option to enable Custom Consents and configured those Custom Consent all within the same screen.
This option is highly customizable, with options for multiple pages, input fields, click buttons etc.
In the following screen below, you will start by "On" for the Custom Consent Process option and clicking the update button.
Editing the "SHM General Consent"
If you have existing custom consents, you will have a variety of templates to choose from. If not you will have our "SHM General Consent" template that comes standard with each system.
We always suggest copying a template and then creating changes from there.
Once you copy the template, you must then pull it from "The following template is being used" to start editing. For more on templates see Swifthire Consent Templates.
2. New Consent and Adding Pages
C. You will next have the option to add your first page to the consent process. Note if you are starting from scratch, go straight to "Add New Page".
When adding a new page, label each page. Example: Page 1. You will next have to label your template using the following screen:
Please note, your page title will view as the title for each page. The title on the consent builder will read as a subtitle. It will view as the following:
3. Adding Fields
Once here, you will see a new form builder screen populate. To create fields, simply drag the desired field (green boxes on the left) into the "begin new page setup section" on the right side of the window.
Please note: The "Title" fields are not saved to the printed PDF in Swifthire Mobile. We recommend using "Body" tags with basic html markup if you wish to add extra header/titles to the top of the page.
4. Customizing Fields
Once you have chosen a field to add content you can add labels, enter your content and make fields required in the screen below. You can utilize HTML formatting if you need to stylize your content. Using a site like https://wordtohtml.net/ can help with HTML formatting. Currently the system will not take any CSS.
After you select Save and Exit, then can select Preview and view the changes.
You also have the following place holders available to personalize the consent:

{{CRAWEBSITE}} - Your company website from the default profile
{{CRAADDRESS}} - Your company address, city, state, zip from the default profile

6. Adding a Signature Section
You can easily add a prompt to capture the applicant's signature by dragging and dropping a signature box onto the form.
7. Consent Requirements
Requirements are the rules that dictate which consents should be shown based on two key pieces of criteria : Location or Searches
In Location requirements, you can set a city-based consent or a state-based consent. The Swifthire Mobile process collects Applicant and Role location at the start of the process to enable this exact functionality and allow you to only show the required consents to you candidates. As the video below shows, you Enter the City and/or State name and apply those changes.
In Search Requirements, you select the searches that this consent applies to. For instance, if you would like for any orders containing a Credit Check to gather an additional consent outlining search specific rights or information, build out the credit check consent first, then add the requirement of Search Type : Credit (or however you label this search within your system).
*Unfortunately, the platform will not allow custom consent forms to be linked with international addresses only. (An alternative would be to create a custom search that would allow the applicant to enter additional addresses which would be displayed on the report.)
8. Deleting Templates
Only templates that are not associated with a client or client type will be available for deletion. If the CRA wishes to delete the template currently in use, it will first be necessary to set the client to use a different template.
The clients and client types a template is associated with can be found at the bottom of the screen:
GoogleMaps Geocoding Library
A city will be pulled from GoogleMaps Geocoding Library. All cities must be listed in this resource as a Locality to populate.
localityindicates an incorporated city or town political entity.
FAQ
You can select multiple search types within requirements.
You can only select one location (city/state or state) within requirements.
You can combine variables of location (city/state or state) with one or many search types within requirements.
Example Use case: Create a consent that covers all verifications performed for an individual, but only needs to be captured for individuals tested within the state of New York.
Q: Is the location based custom release forms based on the SSN Trace results or the swifthire candidate current location?
This is based on the applicants location and the location of the job they are applying for. It is not based on SSNT results.
Q: If we put the DOB and SSN boxes in here will the candidate have to input them again in the candidate info area?
Yes, these boxes are not tied to the applicant profile.
Q: SH 1 forms can be copied to SHMobile
Yes, these forms can be copied using templates and the edited. The typical workflow is to make a copy of the 1.0template and label it 2.0 or mobile. Each template should be labeled for the correct SwiftHire product as each one will be viewed a little differently on each version of SwiftHire. The preview should help you evaluate this.
Q: Is it possible to get the signature box on the same page as the consent language?
With custom Consents you can edit the exact page you want the signature field in. Simply go to the SHM Disclosure template and drag the green signature box into the form you and location you need!
