What is the Data Retention Policy?

Now, CRAs are in control of setting the data retention policies for their clients. Each client can have their own policy set for how many years back report history will be saved. Any data outside of the years enabled will be permanently deleted and purged from all storage systems. No copies will be retained. The data retention policy includes background check searches and E-verify searches but does not include electronic I9. Data Retention Permissions and Change Log

deverus administrators with the permission of "client manager" will have the ability to set the policy.

To ensure that these changes are transparent, any changes to the data policy will be logged and viewable by going to the Client Editor and clicking the View Change Log link for the Data Retention Policy settings.

The change log for the Data Retention Policy will show

  2. date/time of change

  3. original value

  4. new value

Setting the policy for clients

By default, clients will have their reports stored indefinitely. No changes or deletion of records will occur. However, if a policy is desired to be set, it can be set at the client or client type only (July 2020). Branching will not be available at this point in time. Once set to anything from Infinite, the default setting will not be available.

*NOTE* It is important to note that this action cannot be completed via a database script. The ability control the year needs to be set per client. It cannot be set and propagated down a branch setting.

After selecting the retention period and checking the two boxes, and selecting Update, the Data Retention Policy for this client is set and the action for setting the policy will be available in the ChangeLog as described above.

If Data Retention is removed, the client will have their reports stored indefinitely.

Deletion of Reports

Upon setting the policy for a client, the reports that fall outside of that range will be deleted and will not be recoverable. The purging process for storage runs on Friday of each week, starting at 10 pm. deverus strongly recommends CRAs to consult with their legal teams to ensure that the Retention Policy for each client meets regulations. It is also important to note that searches under dispute will not automatically be retained. For example, if a search is under dispute, it is the responsibility of the CRA to save it off platform incase it ages out and gets deleted.

Exporting Reports

For reports desired to be saved off-platform before a policy is set, CRAs can submit a support ticket to request reports that would otherwise be deleted. https://deverus.zendesk.com/hc/en-us/articles/360039869752-Data-Export-Policy

Invoices

All detailed invoices will be deleted for the timeframes outside of the data retention policy due to sensitive consumer information. Summary invoices will be retained.

i9 and Reports

Reporting data is queried off of existing report data. If data is deleted, information will not be available in your reports. i9 documents ordered through the HR portal will not be deleted as part of the Data Retention Policy. If an E-verify search was generated as part of the I-9 ordering process, it will be maintained in perpetuity. The I-9 ordering process is where when an I-9 is completed, the E-verify search will automatically be triggered and ordered.

If an E-verify search is ordered on its own, whether it be in a package or a'la carte, it will be subject to the deletion policy.
If an E-verify search was generated as part of the I-9 ordering process, it will be maintained in perpetuity
