What we'll review:
Viewing the Screening Statistics Report
Emailing Screening Stats to Clients
Your clients can keep track of their overall screening statistics and activity from the client module. This allows clients to measure and track the effectiveness of their screening program. This report can also be sent to clients via email.
Client Screening Statistics
If a user is set as an "Admin" and has "Screening Stats" enabled in their user settings, they can log into the client module and navigate to the My Account tab -> Reports -> Screening Statistics, which will present the screen shown below:
The system will then compile screening statistics for the client based on the time frame chosen.
*NOTE* If the client has branches underneath them, as explained in Client Branches, the HR user will have an additional dropdown where they can choose All Branches (to get each branch's statistics listed separately) or any specific branch (to retrieve statistics for only that branch). Only users with "Administrator" enabled in their user settings will see the dropdown for the branch selection options.
A sample of the finished Screening Statistics report is shown below:
Here's a quick explanation of each line of the report.
Subjects Screened: The total number of applicants screened in the chosen time period - in other words, the total number of reports run in that time. (If an applicant is screened and then re-screened in the chosen time period, it counts as two separate subjects.)
Avg Searches per Subject Report: Since each report can contain one or more searches (criminal checks, verifications, etc.), this reports the average number of searches in each report for the chosen time period.
Total Searches Performed: This adds up the total number of searches from all reports for the chosen time period.
Avg Price per Subject Report: This takes the total cost of all searches in the report (the Total Price at the bottom) and divides it by the number of reports (Subjects Screened above) for an average total cost of each report ordered.
Avg Price Per Search: This is the same as the previous statistic, except the Total Price is divided by the Total Searches Performed to arrive at an average per-search cost across all search types.
% Subjects with Criminal Records: This analyzes all subjects (reports) and returns the percentage of those reports who had at least one reported hit on a criminal search of any type (county, instant, state, federal, or sex offender).
Number of Subjects with Criminal Records: Same as above, except it reports the total number instead of the percentage. (The percentage is computed by dividing this number into the Subjects Screened.)
% Subjects with Unverifiable Results: This reports the total percentage of subjects that had at least one verification (education, employment, or professional license) completed as unverified by the researcher or administrator.
Number of Unverified Results: Same as above, except it reports the total number instead of the percentage. (The percentage is computed by dividing this number into the Subjects Screened.)
% Subjects with Positive Drug Test: This reports the total percentage of subjects that had a drug screen (of any kind) with a positive result entered.
Number of Drug Tests with Positive Result: Same as above, except it reports the total number instead of the percentage. (The percentage is computed by dividing this number into the Subjects Screened.)
Avg Turn Time per Completed Subject Report (hrs): The average turnaround time of all reports, displayed as a number of hours. This number is obtained by adding up the turnaround times for each report (which is the largest turnaround time of any search within the report) and dividing by the Subjects Screened.
Total Price: The total cost of all searches included in this time period, whether invoiced or not. Court fees are included in this total price.
Email Screening Stats
A client user can request to receive this report, exactly as formatted online, to their email address (which is the Results Email field under My Account > Profile > My Results Delivery). The system will send the report with month-to-date data on the schedule the user chooses.
To request this report, the user should go to My Account > Profile > My Profile and make a choice under the Client Screening Statistics Report section, as described below:
Do Not Receive: The user will not receive the report via email, though they can log into the client module and navigate to My Account > Screening Statistics.
Receive Daily: The user will receive the report around midnight each day, including data from the previous day only.
Receive Weekly: The user will receive the report every Sunday around midnight, including data from the beginning of the previous week (the previous Sunday) to the end of the previous week (Saturday).
Receive Monthly: The user will receive the report on the 1st of each month around midnight, including data for the entire previous month.
Once a choice is made, click Update to make the changes. From that point forward, the client will begin receiving the report on the schedule chosen.
Client Activity Report
This is a more robust reporting option available to clients in the client module, but is only available to users set as "Administrators."
The Client Activity Report allows the client to review their Activity by search type/jurisdiction and other criteria shown in the screenshot below, such as Alert on Search, SwiftHire Data, Date Completed, Report Price, Reference, etc. They are also able to set a custom date range for searches to include on the report:

An activity report example is shown below:
When a search type is NOT selected from the report criteria, the resulting report can provide your clients with a comprehensive overview and/or audit capabilities of background checks with Alerts (or flags), Final Report Grades, turnaround time, etc. The Report ID column produces a convenient, clickable field that will take the user directly to a copy of the background check.
