Invoice Detail - CSV Export

The CSV invoice export allows admin users to download invoice detail in a spreadsheet-style CSV file. This can be useful when clients need invoice information broken out into individual columns, such as invoice totals, client details, services ordered, package information, fees, costs, or report/search identifiers.

Using the CSV Invoice Export

To export invoice detail to a CSV file, navigate to:

Admin Module → Accounting → Client Invoice Finder

Locate the invoice or invoices you want to export, then select export all invoices below to a CSV file.

On the CSV export settings page, choose the data points you want included in the file. Selected data points will appear as columns in the exported CSV.

Available CSV Data Points

The CSV export settings page includes several groups of available data points:

Invoice Summary

Invoice summary options include invoice-level details such as invoice summary number, grand total of invoice, sales tax, start date, end date, creation date, and parent ID.

Client Contact Information

Client contact options include client type, client ID, client name, contact, phone, email, fax, accounting email, accounting fax, address, city, state, zip, and accounting code.

Invoice Details

Invoice detail options include service type, price, first name, last name, location, reference, second reference, third reference, Search ID, Report ID, date ordered, date completed, order client ID, order user ID, fees, costs, package ID, package name, and package price.

Include Branch Invoices

When Include Branch Invoices is set to Yes, the export will include invoice information for branch accounts along with the top-level account, when applicable.

Fees vs Costs

"Fees" represent fees passed on to the client that are set up in the Researcher Network.

"Costs" may apply to employment and education verifications when fees are added through exception pricing and passed on to the client.

Helpful Notes

The CSV invoice export can be useful when clients request reporting on how many times a specific package was ordered. To support this, select Package ID and/or Package Name before exporting.

Invoices that have already been exported to a CSV file will not be included again if the export is run a second time.

To export the same invoice again, locate the invoice in Client Invoice Finder. On the invoice card, look for the line that says Invoice sent to CSV file (mark as NOT sent), then click the hyperlinked mark as NOT sent option.

Once the invoice has been marked as not sent, it can be included in a new CSV export.
