Salespersons and Commission Tracking

In Verocity, you can create salespersons who can be assigned to specific clients. Then, if desired, a commission percentage can be assigned to that client, which will allow you to calculate each salesperson's commission through the built-in commission calculator.

Creating a Salesperson

A salesperson is an "administrator" who has been assigned the Salesperson permission. You can choose to only assign Salesperson access, or you can make a full administrator into a salesperson if that's appropriate. Here's how to do it:

  1. Navigate to Dashboard -> Administrators.

  2. If the person you wish to be a salesperson is not yet listed:

    1. Click the create administrator link at the top.

    2. Fill in the necessary details such as name and email. You must create a password, even if this person does not need to log in.

    3. Assign the necessary permissions. For the sales features, you must at least choose salesperson access for the user; any other permissions can be given to the user at your discretion.

  3. If the person is already an administrator:

    1. Click the person's name in the list to expand their administrator snapshot.

    2. Change the salesperson access to yes. (If it is already set to yes, then the person is already a salesperson.)

    3. Click the update button to add salesperson access for the admin.

Assigning a Salesperson to a Client

Salespersons can only be assigned at the individual client level. Once assigned, you can run commission reports to view how much volume each salesperson's clients are generating.

  1. Navigate to Clients -> View Clients -> locate the client to which you wish to assign a salesperson.

  2. Click on the Client Information heading to expand it, then scroll to the bottom of that section labeled Sales.

  3. Find the Sales Person dropdown, and choose the appropriate salesperson from the list. (All administrators with "salesperson" access, as explained above, will be listed here.) If a current salesperson is already listed, you can still choose a new one if you desire:

  4. If necessary, you can enter a Commission Rate for salesperson assigned to this client. Enter this number as a percentage, but don not type the percent sign (for example, enter 10 for a 10% commission). If the percent sign is entered in this field, the system will calculate the salesperson's commission (based on total invoiced revenue minus court fees) for that client when you use the commission calculator (explained below).

  5. If a commission percentage is assigned, a Commission Expiration date can also be set for that commission. This prevents the system from calculating commission for that salesperson for sales made on or after the expiration date.

    For example, if you enter a commission expiration date of 7/21/2008, and you later generate an invoice for the period of 7/1/2008-8/1/2008, the salesperson would get commission on any searches completed on 7/20/2008 or earlier.

  6. When finished, click the SAVE button at the bottom of the Sales section.

Calculating Commission for a Salesperson

To calculate commission, you can use the commission calculator available from the Sales tab.

  1. Navigate to Sales -> Reports, and click the Commission Payment Calculator link.

  2. From the Salesperson dropdown, choose the name of the salesperson for whom you wish to calculate commissions, or choose View All Salespersons to get a report of all salespersons and their commissions.

  3. Choose a standard date range, such as Today or Month to Date, or enter your own date range by choosing Custom Date and entering start/end dates (in m/d/yyyy format, such as 10/1/2008). This will tell the system which invoiced transactions to analyze in determining commissions.

  4. Click 'run report' to get the commission report.

  5. The resulting report will list the salesperson you chose (or all salespersons if you chose that option), along with the salesperson's assigned clients, their volume and fees over the chosen time period, and the commission to be assigned, if any.

Note that you can use the Commission Payment Calculator to view sales volume by salesperson, even if no commission rates are assigned.
