We have recently released a new feature that allows your company to grade reports with an overall grade outlined by "Cumulative Report Grading Criteria" supplied to you via your client. This feature works congruently with regular report grading. Before setting up an overall cumulative grade option, please ensure your client has at least one search type that is setup for regular report grading. See ""Report Grading" for this initial setup.
This feature, like regular report grading, can be found under the "Tools" tab in the Admin Module. Once Selecting this tab, you will see the "Cumulative Report Grading Settings" section. Upon Selecting this, you should be taken to the following screen.
Creating the Grading Profile
At this Point you will want to select the "Create New Cumulative Report Grading Profile" which will take you to this naming screen.
After selecting "Next" you will be taken to the familiar Grading Levels Setup screen.
At the top of this page, specify between 2 and 10 levels of grading you wish to be able to assign. Choose both a label and a color for each. The label and color will appear on the client's final report when you grade a search at that level. Your next grade should be listed at the top and you can progressively tier downwards to your worst grade. See the sample screenshot below.
Next you will input your clients Report Grading Criteria for reference while grading a report. After choosing the different levels/colors, and filling out the criteria, hit the "Save" button and your profile is ready for use!
Assigning to Clients
Once you have set it up, the profile will be available to select as the global profile in the dropdown found here:
After making a selection use the checkbox to indicate you wish to make it the global profile for all clients and select the "Save" button.
If you do not wish to assign it to all clients, you can assign it independently in the new sections found in the client and client type settings:
To Remove the profile, you can do so by selecting "Here" shown here with a yellow arrow.
Grading the Final Report
Once the FINAL search of a report is going through the report grading process, your report grader will see an extra area that will list all other searches on the report that have been graded as well as a section to set the Cumulative Report Grade. If you are only grading one search, you will immediately have the "Cumulative Report" option available. Below this you will find the Cumulative report grade criteria that was input during setup:
Report and Cumulative Grading work in a manner that avoids having to grade each and every report for you client. If searches on a report are clear/verified then these searches will receive the automatic highest grade available for both the search and cumulative grade and no grader is needed. Any status lower than this will have the search and report stop in grading before being released to your clients.
If a report is sent through Quality Assurance - After the last Search on the report is pushed through Quality Assurance, it will be sent to Grading and you will be allowed to revisit the grade before it is pushed to the client so that changes can be made if needed.
Release of Grade to Applicant
Cumulative Grading also has a results release feature if the final report grade is a less than the best possible grade. This feature allows HR users to review results before sending emailed results to the applicant. HR users can log into the HR module to review the disposition of the report. Next, they must choose either:
1. Release report
2. Do not Release
If the HR user does not release records, the applicant will not receive an email with results or they will receive the following status in "Applicant Portal":
Invoicing
Please note that if the "Cumulative Report Records" disposition is not selected within 30 days, the system will automatically default to "Do not release". The report is not considered complete until one of these actions is selected. If a client is being invoiced based on Completed Reports ( versus when the search is ordered ), the report will only be available for invoicing once the HR user has selected a disposition and the report is officially completed.
Canceled Searches
If the last search on a report is part of the grading profile and that search is canceled, the system prompts the user again to give the report a cumulative grade. If the grade is anything less than top grade, the HR user will again need to select a disposition to send results and complete the report.
