Introduction
The Hold function allows a background check to be ordered in the system but pauses the individual searches before processing. This can be valuable in situations where the report must be ordered but additional information is needed after the fact, or where the CRA must review the order prior to processing and potentially incurring unnecessary charges.
Client and Client Type Level Settings
There are three On Hold options at the Client or Client Type level, as shown and described below:
Do Not Hold: No searches in the order will be placed on hold status.
Hold All Searches: Every search in the order (except instant searches) will be placed on hold.
Hold AKA Only: Each AKA search (if any) will be the only searches placed on hold. If no AKA is ordered, then no items in the report will go on hold.
Package-Level Hold Settings
Hold settings are also available at the package level. It defaults to the "Use Client Setting" option, but "Do Not Hold," "Hold All Searches," and "Hold AKA Only" are also available at the package level:
*NOTE* If the On Hold setting is configured for the "Do Not Hold" option in the package, no special logic is needed to place the order for each search. This will override the client-level hold setting.
Setting Logic
The On Hold setting applies if an applicant, HR or Admin enters an AKA using the “additional names” feature.
Hold Queue
Searches on hold are viewable from the admin's 'On Hold' dashboard upon login:
Clicking the hyperlinked number for On Hold will display a list of all searches currently in Hold status (as shown below). Clicking on the hyperlinked search ID will take you to the report level to review and process the order.
If there are more than 300 searches in the On Hold queue (so no hyperlink available on the dashboard), you can navigate to Report Finder, select "Hold" for the Search Status, and either change the "maximum number of results to allow" or narrow the search by Client/Client Type, Post Date, etc.
