The two stage ordering process allows you to offer a package that requires one set of searches to pass a certain grade before allowing secondary searches to be processed in the same package.

Ordering Interfaces:

This feature is compatible with HR portal, SH1.0, and SHM without Review. It is not compatible with SHM with Review, Hubworks integrations, and Admin ordering.

Two Stage Ordering Requirements

*NOTE* Two Stage Ordering is not designed for clients who are charged for a report upon ordering. This feature is designed for clients who are charged for a report upon completion.

The two stage ordering process requires Report Grading to be enabled since the process is based on the grade of the first stage, which determines if the second stage searches should get released to process. The workflow is as follows:

  1. The Two Stage package settings are available for existing packages or when creating a new package. Select the appropriate search quantity for each search type from the Quantity dropdown. To have specific searches process only in Stage 2, check the checkbox next to the search type:

  2. Set the price for the package as well as the Stage 2 searches:

  3. When a Two Stage package is ordered, all searches from both stages will prompt the user to fill out the required information pertaining to each search.

  4. Upon ordering, only the searches in the first stage will begin processing.

  5. Once the Stage 1 searches are all completed, QA'd and graded, the searches in Stage 2 will be handled in one of three ways:

a. If all searches receive the highest possible grade in the grading profile, the second stage searches will be automatically released from hold and processed as part of the existing report.

b. If any search receives the lowest possible grade in the grading profile, the second stage searches will be immediately canceled.

c. If no searches receive the lowest possible grade, and at least one search receives a middle grade (defined as any grade other than the highest or lowest), the second stage searches will remain on hold. In addition, the report in its current state will be sent to the client user associated with the report. This report send will follow the user notification preferences in terms of email vs. fax vs. both.

In scenario c above, the system will "listen" for grading changes made by the client in the client module. Each time a grade is altered, the system will review whether the report now meets the criteria in a. or b. above. Once the criteria for either scenario are met, the system will either order the stage 2 searches as in a., or it will cancel the stage 2 searches in b. In either case, the report will now be considered complete.

*NOTE* The Package Price will always be charged. If searches from both Stage 1 and Stage 2 are processed, then the Stage 2 Price will be added onto the Package Price. If only the searches from Stage 1 are processed and Stage 2 searches are cancelled, the Stage 2 Price will be subtracted from the Package Price.

*NOTE* If a Stage 2 Employment Verification Search is marked by the candidate as "Do Not Contact," the search is not held for stage two. The search is automatically completed.
