SwiftHire Mobile Settings in the HR Module

SwiftHire Mobile lets you invite applicants to complete their own background check information online — they get a link, enter their details, e-sign the consent documents, and submit. You can't send a SwiftHire invitation until your settings are configured, so if you haven't set up your SwiftHire verbiage yet, this is your starting point. Here you'll set up the invitation email, any reminder emails, who gets notified when an applicant finishes, and how completed requests are processed. Getting to your settings

There are two ways in:

  • New Order → SwiftHire Requests, then click Settings (the gear) at the top, or

  • Reports → SwiftHire Requests

If you've never configured your SwiftHire settings, either route takes you straight to the SwiftHire Mobile Settings page automatically — you can't place a SwiftHire order until they're set up. From the settings page header you can also jump to a New Request or head Back to SwiftHire Mobile to monitor existing requests.

Request email

This is the invitation your applicant receives, asking them to fill out their background check info online. All three fields are required:

  • Email Reply To — the address the invitation appears to come from. If the applicant replies, their reply goes here.

  • Subject Line — the subject of the invitation email (for example, "Background Screening Request").

  • Email Body — the message itself. Default text is included, and you can edit it freely to add your own instructions. A link to the background check form is added automatically at the bottom when the email sends, so you don't need to include one.

Reminder emails

If an applicant doesn't submit their information, the system can send automatic reminders. Set up one or several, each with its own:

  • Subject Line

  • Email Body — default text is included and editable, and the form link is added automatically, just like the request email

  • Days Until Reminder is Sent — how many days after the invitation this reminder goes out

Click + Add Another Reminder to add more, each with its own timing, so you can build an escalating sequence; use Remove to drop one.

Notifications

Choose which users on your account get an email when an applicant completes a request. Select one or more users from the list (hold Ctrl/Cmd to pick multiple), or choose NONE if you don't want notifications.

Process options

Decide what happens when an applicant submits their information. Pick one:

  • WITH Review — the order isn't placed until you review and approve the applicant's submission, giving you a chance to make changes first. Submissions waiting on you appear in your SwiftHire Mobile section, where the count (for example, 1 / 4) shows how many are awaiting review.

  • WITHOUT Review — the order is placed automatically as soon as the applicant submits, with no manual step.

  • Applicant Pays — if this option is available to you, the applicant is prompted to pay for the check by credit card. The order is placed and invoiced when they finish, and a receipt is sent to them.

Save your settings

When everything's filled in, click Save Settings at the bottom (or Cancel to discard your changes). Once saved, you're ready to start sending invitations — see Ordering via SwiftHire Mobile.
